Vault for accountants

Client papers that don't live in an inbox forever.

Draft accounts, tax computations, engagement letters and fee proposals leave the practice as attachments and never come back. Vault sends them as a link you paste into the same reply: open only to the client you named, closed on the date you chose.

You have seen every one of these.

  • The draft accounts you emailed in March are still sitting in three inboxes and one personal webmail account.
  • A fee proposal gets forwarded to a friend of the client who happens to run a rival practice.
  • File review asks who saw the tax pack and when, and nobody in the room can answer.

How a document goes out from here.

  1. 01

    Upload the document

Drop in the PDF or Word file, up to 20 MB. Send one, or put up to 20 on the same link — you pick the set, so nothing rides along by accident.

  2. 02

    Say who can open it

Type the addresses, or allow a whole domain and let everyone behind it in. Set the expiry in the same breath.

  3. 03

Paste the link into your reply

Copy the link and paste it into the email thread you were already writing. No invitation to send, no account for them to create.

  4. 04

    Change your mind later

Add an address, drop one, or revoke the whole thing, and it lands on their next click. The expiry is the one choice you make up front and keep.

What you keep once it has gone.

The link answers to you for as long as it exists, and stops existing the moment you decide it should.

Only people you named get in

A link cannot exist without an allowlist. Name individual addresses, allow a whole domain, or both. Everyone else lands on a page that tells them nothing about the document.

The link expires when you say

Pick 7, 30, 90 or 365 days when you create it, or no expiry at all. After that the link is dead, including for the people who already opened it.

Revoke works on the next click

Revoking kills the link, every live session and every outstanding code in one transaction. Edit the allowlist instead and the change lands just as fast.

A view log that names them

You see the link was opened; from the moment someone puts an address in, every step after it — code sent, failed, denied, verified, viewed, downloaded — is written down against that address.

Forwarding gets nobody in

The URL is not the credential. Whoever holds it still has to be on your list and still has to prove the address is theirs, and that is re-checked on every request.

Built for the people who send the same documents every week.

Questions from people who do this job.

Can I let an entire client company in at once?

Yes. Allow a domain and every address ending in it is admitted; the rule matches the part after the last @, exactly. Individual addresses and domains can sit on the same link.

What about the partner who signs off from a personal address?

Add that address as well, before or after you send. Editing the allowlist takes effect immediately, and taking an address off ends that person's session on their next click.

Does this replace sending the pack for signature?

No, it is the step before it. When the numbers are agreed, one click turns the stored PDF into a draft envelope in the signing builder without re-uploading anything.

Send the next one as a link you can take back.
